In short: Sparks Scribe has three plans: Essentials $15/month, Vault $20/month and Safeguards $39/month, all GST inclusive. Paying yearly gives two months free ($150, $200 and $390). Every plan starts with a 14-day free trial, no card needed, and there is a full refund if you are not happy in your first 14 days on a paid plan.
If you have been bouncing between the pricing page and the app trying to work out what you actually get for your money, here is the short version with nothing left out.
The three plans, plain and simple
- Essentials, $15 a month: AI shift notes, all note templates, NDIS-coded invoicing, custom rates, calendar and client records.
- Vault, $20 a month: everything in Essentials plus Xero sync, service agreements, Document Vault and Receipt Vault, and the full kilometre log.
- Safeguards, $39 a month: the compliance tier, with incident reports, per-client risk profiles, restrictive-practices flagging and consent form signing.
What Essentials actually covers
Essentials is the entry plan and it is not a stripped-down trial version. You get AI shift notes you can type or speak, with templates for SOAPIE notes, daily progress reports, incident reports, behavioural observations, medication administration and community access reports. Invoicing is NDIS-coded from day one, so each line carries the right support item code and rate, including weekday, evening, weekend and public holiday rates. Travel and expenses can be added to invoices, and if a standard rate does not fit, you can set up a custom support code with your own rate. Plus the calendar, roster, client records and reports.
What Vault adds
Vault is built for anyone who already uses Xero, or who wants client documents, service agreements and receipts kept in one spot instead of scattered across emails and photos. It syncs with Xero, which is the only accounting software Scribe connects to directly. You also get the Document Vault, the Receipt Vault, and the full kilometre log, including manual entries for work travel you did not bill to a client.
What Safeguards is for
Safeguards sits on top of everything in Essentials and is the plan for workers who want their compliance file properly sorted. It captures notable actions and incidents in real time and guides you through the next steps, with proper incident reports, per-client risk profiles, restrictive-practices flagging and consent form signing. If you are not sure whether Safeguards also bundles the Vault features like Xero sync or the Document Vault, that is worth checking directly with the team rather than guessing, since plan contents can be adjusted.
Paying yearly saves you two months
All prices above are monthly and GST inclusive. Switch to annual billing and you get two months free: Essentials becomes $150 a year, Vault $200 a year, and Safeguards $390 a year. Handy if you know you are sticking around and would rather pay once and forget about it.
Trial, refunds and no lock-in
Every plan starts with a 14-day free trial with all features unlocked, no card required. Anything you add during the trial, notes, invoices, client records, stays in your account. There is no free plan once the trial ends, but if you subscribe straight after, you pick up exactly where you left off. If you move to a paid plan and decide within your first 14 days that it is not for you, you get a full refund, no questions asked. There is no lock-in contract, so you can stop whenever you need to.
How to pick the right one
- Mostly writing notes and sending invoices: Essentials covers you.
- Already on Xero, or want service agreements, documents and receipts in one place: go Vault.
- Want incident reports, risk profiles and consent records ready for a compliance file: Safeguards is built for that.
If you are still unsure, the pricing page on sparkscribe.app lays all three out side by side, and the trial lets you test the real app before committing to anything.
