Support worker roster template

A simple weekly roster you can copy or download to plan your shifts, participants, times and locations.

A support worker roster is a simple weekly plan of your shifts: the day, the start and finish times, the participant, the location, and any notes. Keeping one in a single place stops double-bookings and makes invoicing easier at the end of the week. The template below is free to copy or download.

What to put in your roster

Keep it to the essentials so it stays quick to update:

  • Day and times. The day, and the start and finish time of each shift.
  • Participant. Who the shift is with (name or initials).
  • Location. Where you are meeting, especially for community access.
  • Notes. Anything you need to remember, such as an appointment to get to or a key to collect.

A filled-in example

A couple of rows, filled in and de-identified:

Wednesday: R.K.  ·  14:00 to 17:00  ·  participant's home  ·  meal prep, GP call at 3pm

Friday: J.M.  ·  10:00 to 12:00  ·  library  ·  goal work, bring timetable

Keep your roster, notes and invoices together

Sparks Scribe has a built-in calendar, so your roster, your notes and your invoices all live in the same app. Book a shift once and it flows through to the note and the invoice, so nothing gets missed at the end of the week. It starts at $15 a month, with a 14-day free trial and no card. See how the apps compare on rostering.

Frequently asked questions

What should a support worker roster include?

The day, the start and finish times, the participant, the location and any notes for each shift. That is enough to avoid clashes and to invoice accurately.

How do I avoid double-booking shifts?

Keep a single roster or calendar rather than notes in different places. An app that syncs your calendar across devices makes clashes obvious.

Can I roster and invoice in the same place?

Yes. Apps built for support workers, including Sparks Scribe, link each shift to the note and the invoice, so booking a shift feeds straight into billing.

How far ahead should I roster?

A week at a time suits most independent support workers, adjusted as participants' plans and appointments change.
